Room Hire Terms & Conditions
Submitting a booking request for one of our rooms indicates you agree to our terms and conditions.
Note: Client refers to the person/company/organisation submitting a room hire form.
Bookings
Advance bookings are required. A minimum of one week’s notice is preferred but clients are advised that demand for facilities is often high and as much notice as possible should be given.
Payment in full is required within 30 days. Delays in payment may incur interest charges
Room Hire
Rooms are hired out on a half-day or full day basis. A full day is 9.00 am and 5.00 pm. A half day session is either 9.00 am to 1.00 pm or 1.30 pm to 5.00 pm.
‘Full day’ applies to any room booking that does not comply with the times for a half-day session.
The hirer must ensure that rooms are vacated by the agreed times.
Viewing of the rooms and facilities is welcomed when pre-arranged through admin@deafaction.org.
Hire of the Rooms includes use of flip chart and pens.
No food or beverages of any kind are permitted to be brought into Deaf Action by the Client without prior permission.
Smoking is not permitted anywhere within any Deaf Action buildings.
Cancellations
Should a cancellation should arise, the client should immediately advise admin@deafaction.org.
Once your booking has been confirmed in writing you will incur a fee in the event of a cancellation.
Cancellation 8 days or more in advance – £25
Cancellation 4-7 days in advance – 50%
Cancellation 1-3 days in advance – full charge
State & Repair
The Client is responsible for ensuring rooms are suitable for their intended use. Please discuss any issues affecting suitability before making a booking.
The Client will be given access to the facilities in a fit and reasonable state and will be responsible for returning the room to Deaf Action in similar condition. Failure to do so could result in a charge to the Client for remedial cleaning work, etc.
The Client may not grant broadcast (sound or television) or filming rights without the prior written consent of Deaf Action.
Liability
The Client is responsible for providing First Aid cover for their event.
The Client undertakes to comply with all applicable Health and Safety Rules and regulations.
All fire exits and passageways shall be kept free from obstruction at all times.
The client must be able to demonstrate that it has adequate Public Liability Insurance to cover any claims arising directly from their activities.
Deaf Action shall not be liable for any loss or damage to property or goods used or exhibited during room hire or left by the Client or persons attending the event.
Communication Support at Public Meetings
If you are hiring a room at Deaf Action with the purpose of holding a public event for deaf or sensory impaired attendees you must provide communication support from a registered, qualified professional. Professional accreditation bodies include: SASLi or NRCPD. It is against our policy to use non-registered communication professionals.
